Workforce
Maintain employee, immigration, sponsorship, employment and Right to Work information in a central register.
→Bring workforce records, Right to Work evidence, sponsored-worker documents, payroll evidence, BACS matching, employee actions and structured compliance preparation into one secure Cloud portal.
SponsorAssist is designed around the practical evidence and administration cycle of a sponsor-licence team: maintain the workforce record, collect supporting evidence, review payroll information, act on exceptions and prepare a structured record for internal audit or compliance-visit preparation.
Maintain employee, immigration, sponsorship, employment and Right to Work information in a central register.
→Store and review employee documents, track missing evidence and retain employee-submitted records.
→Process payslips and BACS evidence and compare salary, payslip and payment information by payroll period.
→Review staff changes, absence evidence, reporting events, document processing and payroll exceptions.
→Bring the records already held in the platform into a structured sponsor-compliance dossier for review and export.
Maintain core worker information including immigration status, sponsorship information, employment dates, visa expiry, Right to Work information, salary records and employee references.
Keep employee evidence inside the tenant workspace with AES-256-GCM encrypted document storage and controlled file-access checks.
Give covered employees their own accounts to view information, access payslips, upload documents, report contact changes, submit leave or absence evidence and use internal messaging.
Review sponsored-worker records, visa and Right to Work information, relevant dates and supporting evidence from a dedicated reporting view.
Identify gaps in the documents and evidence expected for worker records, helping the administrator focus attention on incomplete files.
Generate a consolidated dossier from records available within the platform, including workforce, verification, absence and salary-related evidence for internal review and compliance preparation.
SponsorAssist goes beyond storing documents. Its payroll-evidence workflow can process payslips, identify information from configured layouts, review BACS statement regions, create employee-specific evidence and compare monthly salary, payslip and BACS information.
| Period | Salary | Payslip | BACS | Status |
|---|---|---|---|---|
| Payroll period | Applicable | Gross + Net | Payment evidence | Matched |

Illustrative workflow only. Automated extraction and matching supports administrative review and does not remove the need for human verification of source records.
SponsorAssist uses a multi-tenant architecture with independent organisation workspaces, role-based access controls and server-side checks around tenant document access.
Application records and document access are scoped to the organisation workspace rather than being presented as a shared unrestricted repository.
Stored tenant documents use authenticated AES-256-GCM encryption, with decryption designed to fail closed when the required encryption configuration is unavailable.
The tenant administrator is protected by authenticator-based multi-factor authentication. Staff MFA can also be enabled or enforced where configured.
Server-side access checks restrict tenant document access and document-related activity can be recorded in the platform audit trail.
All three Cloud plans provide the same core SponsorAssist compliance platform. The main difference is the number of active employee records included.
For smaller organisations that want structured sponsor-compliance administration without paying for unnecessary workforce capacity.
Our best-value package for growing organisations that need substantially more workforce capacity.
For larger sponsor-licence teams that need capacity for a wider active workforce in the managed Cloud environment.

No. SponsorAssist is independent software for internal compliance administration. It does not replace the Home Office Sponsor Management System, prescribed Right to Work checks, official guidance or professional legal and immigration advice.
The plan limit refers to active employee records in the organisation workspace. It is not limited only to sponsored workers, because the platform can also hold broader workforce and Right to Work records.
Each plan includes one organisation administrator account. Covered employees can have individual self-service accounts for their own records and actions.
No software can responsibly guarantee compliance. SponsorAssist helps organise records, identify evidence gaps, review payroll evidence and support internal compliance workflows. Your organisation remains responsible for its legal and sponsorship duties.
